Kenyan Canadian Association is seeking urgently seeking to hire staff for the following positions:

1. PROJECT COORDINATOR

Reports to: President

Department: Secretariat

Job Location: Greater Toronto Area, Ontario

Contract length: 2 months

Part-time hours: 25 per week

Application Deadline: October 9, 2020

Expected Start Date: October 12, 2020

Compensation: $21.00 per hour

The Project Coordinator will work closely with Program Director and the Project team to create and comprehensive action plans concerning resources, activities and timeframes for the project.

Duties and Responsibilities:

  • Plan and participate in project meetings
  • Providing information and regular support to stakeholders
  • Manage team goals, project schedules and new information
  • Supervise all project activities and related events.
  • Coordinate team members to keep project workflow on track
  • Documentation of each project activity, as well as making summary reports that will be presented to the management.
  • Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
  • Communicate with stakeholders to identify and define project requirements, scope and objectives
  • Adhere to budget by monitoring expenses
  • Keep up the morale of project team members and build relationships with them to develop a strong working unit and supporting their impact on the success of the project.

Qualifications and Requirements:

  • Bachelor’s degree or College Diploma in Project Management, Social Work, Business or related field of study
  • Minimum one-year experience in a related field
  • Competency in computer applications including Office 365, Word, Excel, PowerPoint, and Outlook.
  • Experience in use of Microsoft Project and Microsoft Teams is an asset.
  • Ability to work effectively both independently and as part of a team.
  • Good communication and interpersonal skills capable of maintaining strong relationships
  • Strong organizational and multi-tasking skills
  • Excellent analytical and problem-solving abilities
  • Documentation management and ability to use project management tools

2. FINANCE & ADMINISTRATIVE ASSISTANT

Reports to: President

Department: Secretariat

Job Location: Greater Toronto Area, Ontario

Contract length: 2.5 months

Part-time hours: 25 per week

Job Types: Part-time, Contract

Compensation: $20.00 per hour

The Finance & Administrative Assistant will work closely with Program Directors, the Project & Event teams and other KCA officials to carry out their duties.

This position requires someone with high professional approach, use of tact, superior organizational skills, ability to work with minimal error under pressure, good judgment, initiative, flexibility, ability to deal in an effective and cooperative manner with a variety of people.

Duties and Responsibilities:

  • Maintain books of accounts
  • Generating periodic financial reports for both internal and external stakeholders
  • Processing expense reimbursements
  • Assist in grant project proposal budgeting
  • Analyzing and recommending improvements to financial processes and procedures
  • Determine and establish office procedures and routines
  • Maintaining financial files, records, and historical data
  • Filing and organizing records
  • Record and prepare minutes of general office meetings and webinars
  • Arrange travel and related itineraries
  • Perform other administrative duties as required

Qualifications and Requirements:

  • Bachelor’s Degree or College Diploma in accounting, finance or related field of study
  • Minimum 2 years experience in accounting and finance profession is preferred.
  • Extensive Intuit QuickBooks experience (bank reconciliation, accounts payable, accounts receivable, journal entries and financial reports)
  • Knowledge of Microsoft Teams and Office 365 is a plus.
  • Proficient with Microsoft Excel skills (e.g. VLOOKUP, PIVOT Tables, Sum Formula)
  • Excellent analytical and organizational skills, with the ability to prioritize and handle multiple tasks and timelines.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and within a team.
  • Demonstrate attention to detail and accuracy.

3. COMMUNITY OUTREACH OFFICER

Reports to: President

Department: Secretariat

Job Location: Greater Toronto Area, Ontario

Contract length: 2 months

Part-time hours: 25 per week

Job Types: Part-time, Contract

Compensation: $18.00 per hour

 

The Community Outreach Officer will work closely with Program Director, the Project team and other KCA officials to carry out their duties.

You need to be self-motivated, enthusiastic and community-driven to take on this exciting role. This position requires someone equipped with a positive attitude and readiness to be a team player.

Duties and Responsibilities:

  • Developing a work plan that identifies the goals and activities required for the duration of the contract.
  • Developing and/or maintain a filing system and maintain work files that are up to date, accurate and concise.
  • Providing research and support activities in the development and execution of outreach strategies and activities
  • Provide administrative support in preparation for community engagement activities including logistics planning and coordination.
  • Preparing and submitting required administrative documentation including purchase orders, regular travel and time sheets.
  • Maintain Pipeline of Qualified Project Candidates
  • Contact Potential Project Candidates
  • Onboard New Project Participants
  • Maintain Project Participant Log
  • Build authentic relationships with project participants
  • Participate in Case Management Meetings

Qualifications and Requirements:

  • Bachelor’s degree or College Diploma in Social Work, Psychology or related field of study
  • Minimum one-year experience working with racialized communities is preferred.
  • Competency in computer applications including Office 365, Word, Excel, PowerPoint, and Outlook.
  • Written and verbal Communication skills
  • Strong experience preparing reports.
  • Social perceptiveness
  • Active listening skills
  • Friendly, enthusiastic and positive attitude.
  • Time management skills with the ability to meet deadlines

4. COMMUNICATIONS ASSISTANT

The Communications Assistant will work closely with Program Director, the Project team and other KCA officials to carry out activities designed to increase the visibility and impact of our work.

Duties and Responsibilities:

  • Work closely with website and graphic design contractors to ensure projects and events communication tasks are executed in a timely and professional manner.
  • Develop and maintain a strong database of contacts for communications & reports distribution using MailChimp mailing list manager
  • Regularly review and update content on our website (publications, press releases, project descriptions, discussion forum topics etc.)
  • Manage the periodic e-newsletter
  • Collect and circulate website metrics
  • Maintain our social media accounts.
  • Help format and maintain consistency in promotional materials, handouts for meetings, PowerPoint presentations, project reports etc.

Qualifications and Requirements:

  • Bachelor’s Degree or College Diploma in communications, graphic design, new media production or related field of study
  • Experience in using MailChimp e-newsletter & Website technologies like Joomla & WordPress CMS, HTML, CSS, PHP and Dreamweaver is preferred.
  • Solid knowledge of Adobe Suite including InDesign, Illustrator, Photoshop & Premiere Pro is an asset.
  • Computer skills include Microsoft Word, Power Point, Excel, web-search skills
  • High level of "internet literacy" and knowledge of social media required
  • Excellent written and oral communication skills.
  • Ability to plan workflow, handle multiple tasks simultaneously, meet deadlines and follow through.
  • Ability to work independently and to collaborate effectively with others.
  • Attention to detail
